Meeting Roles
How do I designate Co Hosts?
A host will designate the co host during a meeting. See Zoom’s instructions linked below:
https://support.zoom.us/hc/en-us/articles/206330935-Enabling-and-Adding-a-Co-Host#h_9c3ee7f2-b70c-4061-8dcf-00dd836b2075
Can I designate two or more people to co-host?
Yes, there is no limitation to the number of co-hosts in a meeting.
What's the advantage of a co-host?
Co-hosts can assist with chat, manage participants and a few other things. This would allow the Host to focus on the presentation and moderating the meeting.
Is Alternative Host different from Co-Host?
Yes, an alternative host can start the meeting. A co-host cannot. A host will assign a co-host during a meeting. Learn more about Roles: https://support.zoom.us/hc/en-us/articles/360040324512-Roles-in-a-meeting
Can an Alternative Host be a non-risd person?
No. A host must sign in the RISD’s Zoom portal (either on the web or through the Zoom app) to start a meeting.
Meeting Settings
How do the meeting authentication settings work?
If the authentication is turned on for your meeting, the invitees would be required to sign in to join the meeting.
See more information here: https://support.zoom.us/hc/en-us/articles/360037117472-Authentication-Profiles-for-Meetings-and-Webinars
How do meeting passwords work?
Passwords add an extra layer of security for your meetings. A password is set when scheduling a meeting. Anyone attempting to join a password protected meeting would either need the specific meeting link with the password embedded OR would be prompted to enter a password to join the meeting.
For additional information please see Zoom’s support article: https://support.zoom.us/hc/en-us/articles/360033559832-Meeting-and-Webinar-Passwords-

Recordings
Where are Zoom recordings stored?
The meeting host has the option to store recordings to their local computer or in the cloud. Zoom cloud recordings are stored under the individual user's Zoom account and are automatically moved to Panopto, RISD's video storage host. See our Panopto and Zoom article for information.
Do I need to get students' permission to record discussions?
It is not necessary to ask for permission if the recording is only available to the students in the course and the ability to download is restricted.
If preferred, you may enable the Recording Disclaimer that would prompt attendees for permission when a host starts recording. See Zoom's instructions on how to Enable the Recording Disclaimer.
Important Note: Sharing a class recording outside of the students in the course may violate the Family Educational Rights and Privacy Act (FERPA). Please consider this before sharing.
