RISD uses the Avaya/Lucent 8410D digital display telephone and the 8410B digital non-display model. Both models offer full speakerphone capability, multiple line appearances, conferencing (up to 3 parties*), auto-dialing, and many other features detailed below. In addition, the display model features caller-id as well as a working directory.
Auto-Dialing – Allows the user to store a combination of up to 20 phone numbers or internal extension numbers that can be accessed in one of two ways: direct button access allows the caller to dial a number with the touch of a button (must have unused buttons available) or code access, in which the user can dial a corresponding two-digit code to dial the number. Contact the IT Service Desk to have a technician enable this feature on your phone.
Users with a display telephone can program direct button access themselves by performing the following steps:
1. press 'menu' button
2. press 'next' button until 'prog' appears 3. press 'prog' button
4. press the button you wish to store the number
5. dial the number you wish to store. Be sure to include '9 + 1 + area code + number'
6. press the '#' key to store
7. repeat steps 4 thru 6 to program additional numbers or hit the 'speaker' button to exit.
You can also use code-access auto-dialing if you do not have a display telephone or if you have no room on your phone's buttons. Instead of pressing a button, you can dial a two-digit access code to dial up to 20 pre-programmed numbers. Call the OIT Helpdesk to have a technician set up this feature.
Call Forwarding (all calls)– To temporarily redirect all calls to an extension or outside number:
1.press 'call-fwd' softkey (programmed by technician) or dial *4 (call forward access code)
2.dial extension or other number where calls will be sent
3.hang up
To cancel, press 'call-fwd' key again or dial #4 (cancel code)
Call Forwarding (directly to Voice Mail) – To temporarily redirect all calls to your voicemail box:
1. press 'send-calls' softkey (programmed by technician) or dial *3 (send calls access code)
2. hang up
To cancel, press 'send-calls' key again or dial #3 (cancel code)
Conferencing– To add another party to a call (for a total of up to 3 parties) perform the following steps:
1. press 'conf' button
2. dial the number of the new party and wait for answer
3. press 'conf' again
4. repeat steps 1 through 3 for additional conference connections
To add a call you have put on hold to another call to which you are connected:
1. press 'conf' button (you are given a new call appearance)
2. press the call appearance of the call on hold (first call)
3. press 'conf' again
To drop the last party added to a conference call:
1. press 'drop'
Coverage Paths – You can have incoming calls re-directed to another extension on a long-term basis if you're away from your desk or on the phone. The OIT technician can program this feature to your specifications. Calls will be passed to other extensions before ending up in your voicemail (if the call is not answered).
Directory – Your display phone can be used as an electronic directory of all campus extensions. To find an extension number on campus by spelling the name on the telephone keypad:
1. press the 'Menu' key
2. press the button under 'dir' on the display
3. spell the last name using the keypad. For example, to find the number for John Smith, dial '7,6,4,8,4'. Please note that it might not be necessary to spell the entire name before it appears on the display
4. press the 'call display' softkey to automatically dial the number
5. If you're not sure of the complete spelling of the name, dial one or two of the first letters then press the 'next' softkey to alphabetically scroll through the list of names until the desired name is found. Once found, you can then press the 'call display' key to dial the number
6. remember to press the 'exit' key near the display when the call is completed
Intercom – The technician can set up intercom paths within a specific group of users who need to call each other frequently. Users can call each other using a one or two-digit code which will produce a unique ring tone. To use the intercom, press the assigned softkey 'intercom' button and dial the code associated with the extension you wish to reach.
Mute – To shut off the handset transmitter or the speakerphone mic, press the 'mute' button. As long as the mute light is on, the caller will not hear you. Press the 'mute' button again to turn transmitter back on.
Pickup Groups – You can answer calls made to other phones in your area from your own phone if all parties are in a pickup group. Analog phones can dial *8 to pick up, digital phones can dial *8 or press the available 'call-pickup' key. Pickup groups can be programmed by the technician on request.
Ring Setting – Press the ring key and you can select up to 8 different ring cadences. A user can choose a distinctive ring pattern to help recognize their own phone in areas with many ringing stations.
Speakerphone – To use the speakerphone, simply press the 'speaker' key and make your call. The speaker may be turned on or off at any point during the conversation. Pressing the volume bar (up and down arrows) will adjust the speaker volume. The mute key temporarily disables the microphone during the call.
Test – The 'test' key makes all the lights on your phone blink. Caution: only press this key if you're really, really bored.
Transferring – To transfer a call to another party:
1.with a caller on the line, press the 'transfer' key
2.the caller is automatically put on hold and you will hear dial-tone again.
3.dial the number of the extension you wish to transfer the call to
4.press the ‘transfer’ key again. Phone display
will read ‘transfer complete’.
Volume Control – Your volume control bar can adjust the volume of your phone's ring tone, speakerphone, and handset. To adjust the ring volume, press the up or down arrows with the phone hung up and idle. You will hear your phone ringing and you may adjust the volume accordingly. The same volume bar will control the speakerphone volume when you are on a speaker call. Likewise, the volume to your handset can be adjusted when you are on a normal handset call.
